Start with how your studio works
A client picking a service and slot needs a different journey from a custom project discussed before a date is set. List the steps you follow today, the tools you use and what you want to make easier. If several artists share the studio, check who can see clients, appointments and payments.
needlz is built around projects discussed with the client before a session is booked. The tattoo studio software overview explains that workflow, its features and availability. Clients cannot book their own slot: check this fit before choosing it for a studio that mainly needs self-service booking.
Check these features on the same project
| Topic | Look for this in the demo | In needlz |
|---|---|---|
| Calendar | Find and move a session while keeping time off visible | Sessions, consultations and personal appointments in the calendar |
| Project and client | Keep references and several sessions linked to one project | A project request on the mini-site, a client record and a project with its sessions |
| Deposit | Tell a payment request from money received, then find the balance | The app drafts a Stripe-link message for the artist to send; the deposit is included in the balance |
| Consent | Find the right form and its status for that session | The client completes and signs on their phone; the document stays linked to the appointment |
| Reminders | Know what is drafted and who sends it | Messages prepared by needlz and sent from the artist’s phone |
| Inks | Find the sessions associated with a batch | Label scan, batch number, expiry and linked sessions |
| Till | See what was received, what remains due and how an error is corrected | A payment journal; an incorrect entry is cancelled without erasing its history |
| Mini-site | Show your work and receive project requests | Gallery, project form, aftercare, FAQ and gift cards |
Three checks to try yourself
- Open a client record and find their project, next session and remaining balance. Can you find your way without help?
- Follow a deposit from requested to received. Check how the balance changes and who sends the message. needlz does not send these texts automatically.
- Add another session to the same project. Check that completed, upcoming and unscheduled sessions stay easy to understand.
Questions to settle before starting
- What does the subscription cost, and which payment fees apply? Ask for the full breakdown on deposits and final payments.
- How will you bring over existing clients and appointments? Show the team your export format before planning a migration from another tool.
- Where are forms stored and who can access them? The needlz privacy policy describes the data handled and service providers.
- What do you need from bookkeeping and exports? Check the format with your accountant and the requirements in your country. A payment journal alone does not establish regulatory certification.
- Who can help with your first session? Agree on the support and starting steps before moving the whole studio.
Frequently asked questions
Can I try needlz today?
The demo is open without installation or signup. The app is not yet publicly available in the stores. Choose “Talk about my studio” for a walkthrough with the team; launch notifications are still available from the home page.
Is needlz a free tattoo booking app?
The demo is free. At launch, the app plans a 30-day trial without a card, followed by a monthly or yearly plan. Prices will be shown in the stores; this is not an unlimited free plan.
Can clients book their own slot?
No. The mini-site receives a project request and reference images. The artist discusses the project and then arranges the session. Keep this workflow in mind if self-service booking is your main requirement.
